These Terms govern the use of DojoMaster, the martial arts school management software, and of the website at dojomaster.app. By creating an account or using the service you agree to them. Please read them together with our Privacy Policy, which explains how we handle personal data.
The service is provided by:
DojoMaster UG (haftungsbeschränkt)
Ossietzkystraße 23, 13187 Berlin, Germany
Represented by: Daniil Pavliuchkov, Geschäftsführer
Email: legal@dojomaster.app
Registered at Amtsgericht Charlottenburg, HRB 285716 B. Full company details are in our Impressum. In these Terms, "we", "us" and "DojoMaster" mean this company.
The service is the DojoMaster web application — reached through a school's own School URL such as your-school.dojomaster.app — including the check-in kiosk, the public school portal and embedded schedule, the emails sent through it, and our support. The marketing website and blog at dojomaster.app are also covered by these Terms.
The school is the martial arts school, club, association or business that opens a workspace in DojoMaster. The school is our contracting party. It acts through its owner account and may invite administrators, instructors and members (students, or the parents of students). Together we call these people users.
Business use only. DojoMaster is sold to businesses, clubs, associations and self-employed instructors — entrepreneurs within the meaning of § 14 BGB — not to consumers. By opening a school account you confirm that you act for such an organisation and are authorised to bind it to these Terms.
Members use the service free of charge under their school's account. Their relationship about training, fees and membership is with the school, not with us. Sections 7, 8, 10, 11, 14 and 18 apply to members directly; the rest concerns the school.
The service is provided only on the basis of these Terms. Any general terms of yours apply only if we have agreed to them in writing.
Registration. You must give accurate information when you create an account and keep it up to date. One owner account opens one school workspace; the owner can invite further staff and members from inside the application.
Age. Owner, administrator and instructor accounts may only be held by adults. A school may invite minors as members only with the consent of a parent or guardian, who may hold the account on the child's behalf. The school is responsible for obtaining that consent.
Credentials. Keep your password and your check-in PIN secret, and tell us at once at legal@dojomaster.app if you suspect that someone else is using your account. You are responsible for everything done under your account until you have told us.
School URL. At sign-up the school chooses the School URL under which its workspace is reached. It must not infringe anyone's rights or mislead people about who runs the school. We may change or reclaim a School URL that breaks this rule, or when technical reasons require it; where we can, we tell you in advance.
Roles. The owner decides which user holds which role and is responsible for what administrators and instructors do inside the workspace.
What is included. DojoMaster lets a school manage its class schedule, attendance and check-in, members and membership plans, belt progression and gradings, events and seminars, waivers, email communication with members, fee collection by SEPA Direct Debit, a public school portal, and AI-assisted helpers. Which of these a plan includes is shown on our website and on the Billing page inside the application.
Changes to the service. We develop DojoMaster continuously and may add, change or remove features. If a change materially reduces the core functionality of a paid plan, we tell you at least 30 days in advance and you may cancel before it takes effect (section 6).
Availability. We aim to keep the service available at all times but cannot promise uninterrupted or error-free operation. We schedule maintenance outside typical training hours in Central European time where we can, and announce it in advance where feasible. We are not responsible for outages caused by your internet connection, your devices, or third-party providers outside our control.
Support. Support is provided by email; the address is on our contact page. We answer within a reasonable time during business days; schools on the Business plan receive priority. We do not provide support to members directly — please contact your school.
Beta features. Features marked as beta or preview are experimental. They may change, work differently or be withdrawn without notice, and section 13 does not apply to them.
Free plan. Every school starts on the Free plan, which includes a limited number of active members and a limited set of features. It costs nothing, and we may change what it includes.
Paid plans. Paid plans are billed in advance, monthly or annually, through our payment provider Stripe. Prices are shown in euro on our website and on the Billing page at the time you order. Unless stated otherwise at checkout, prices exclude VAT, which is added where it applies to you. If you provide a valid VAT identification number, it is applied to your invoices.
Member limits and additional members. Each plan includes a number of active members. If your school exceeds it, we may bill each additional active member at the per-member rate shown on the Billing page for that billing period, or ask you to move to a larger plan.
Changing plans. Upgrades take effect immediately; the difference for the remaining billing period is charged pro rata. Downgrades take effect at the end of the current billing period and are possible only if your active members fit within the new plan's limit.
Failed payments. If a payment fails, we notify you and retry it. While an invoice remains unpaid we may restrict the features of your paid plan. If it is still unpaid 30 days after we notified you, we may cancel the subscription and move the school to the Free plan.
Invoices. Invoices are available from the billing portal linked on the Billing page.
Price changes. We may change prices with at least 30 days' notice by email to the school owner. For annual plans a new price applies from the next renewal. If you do not agree, you may cancel before the new price takes effect.
Refunds. Fees already paid are not refunded for the remainder of a billing period, unless the law requires it or these Terms say otherwise.
Term. The contract starts when the school account is created. The Free plan runs indefinitely. A paid subscription runs for the chosen period — one month or one year — and renews automatically for the same period until cancelled.
Cancelling a paid plan. The owner can cancel at any time on the Billing page. The cancellation takes effect at the end of the current billing period; until then the paid features remain available. Afterwards the school continues on the Free plan.
Closing the school account. The owner can close the school account entirely at any time by emailing legal@dojomaster.app.
Termination by us. We may terminate the contract for cause: if you breach these Terms materially and do not remedy the breach within 14 days of our notice, or immediately if the breach is serious — for example an attack on the service, unlawful content, or persistent non-payment. We may also close a Free plan workspace that no one has signed in to for twelve months, after giving the owner 30 days' notice by email.
What happens afterwards. On request made before, or within 30 days after, the end of the contract we provide an export of your school's data in a common machine-readable format. We then delete the school's data within 90 days, as described in the Privacy Policy, except where we must keep records by law.
Use the service lawfully and only for running your school. You must not:
If a user breaks these rules we may suspend that user, or the school's workspace in serious cases, and will tell the owner why.
Your content stays yours. The data you and your users enter — members, classes, attendance, gradings, events, waivers, photographs and text — belongs to the school. You grant us the right to host, copy, process, transmit and display it to the extent needed to provide the service, including passing it to the processors listed in the Privacy Policy.
You are responsible for it. You confirm that you have the right to enter and publish the content you use in the service, and that your use of the service complies with the law that applies to your school — including data protection, consumer protection, tax and the rules of any association you belong to.
Member records. For the member records a school keeps inside DojoMaster the school is the controller under the GDPR and we are its processor, as explained in section 2 of the Privacy Policy. As controller, the school:
Backups. We keep regular backups of the service as a whole. They exist to recover from failures on our side and are not a substitute for an export of your own records; you can request one at any time.
This section is the agreement under Art. 28 GDPR between the school, as controller, and us, as processor, for the member records described in section 8. A signed standalone version is available on request from legal@dojomaster.app.
Subject matter and duration. We process member records to provide the service for as long as the school has an account with us.
Nature and purpose. Storing, displaying, organising and transmitting the records as required by the features the school uses: attendance and check-in, membership and fee management, belt progression, events, waivers and email communication.
Types of data. Names, contact details, dates of birth, emergency contacts, attendance and belt history, membership plan and payment status, bank mandate data for SEPA Direct Debit, waiver signatures, photographs, and any notes the school enters.
Data subjects. The school's members and prospective members, their parents or guardians, and its staff.
Our obligations. We:
The school's obligations. The school is responsible for the lawfulness of the processing, for its instructions, and for the accuracy of the records. It informs us without undue delay if it believes an instruction infringes data protection law.
SEPA Direct Debit. DojoMaster helps a school collect its own fees: it stores mandates, generates direct debit batch files for upload to the school's bank, and reads the bank statements you upload to match payments. We are not a bank or payment institution and no money passes through us. The school is the creditor: it needs its own creditor identifier, valid mandates from its members, and must give the pre-notifications and handle the returns and chargebacks its bank and the SEPA rules require. Fees and returned debits are a matter between the school, its bank and its members.
Waivers and electronic signatures. You can create waiver documents and let members sign them electronically; a signed copy is stored with the member's record. Whether an electronic signature and the waiver's wording are sufficient for your purpose depends on the law that applies to you — we provide the tool, not legal advice.
AI-assisted features. Some features use third-party language models to interpret content you submit, such as importing an event from a web page, reading a photographed examiner list or drafting a waiver. Their output may be incomplete or wrong. Review it before you rely on it; you remain responsible for what you save or publish. Submit only content you are entitled to submit.
Kiosk and check-in. The kiosk runs on a device you provide and place in your school. You are responsible for that device, for who can see its screen, and for keeping members' check-in PINs confidential within your school.
Email. Emails you send through the service — invitations, reminders, notifications — go out from our domain on your behalf. Send them only to people who have a relationship with your school. Recipients can unsubscribe from non-essential email with the link in each message; the service honours that choice and so must you.
Public school portal and embedded schedule. Anything you mark as public is visible to everyone on the internet and may be indexed by search engines. Do not publish personal data about members on public pages without their consent.
The software, the website, their design and content, and the DojoMaster name and logo belong to us or our licensors. For the term of the contract we grant the school and its users a non-exclusive, non-transferable right to use the service for the school's own purposes. All other rights remain with us.
If you send us suggestions or feedback — including through the feedback form in the application — we may use them freely to improve the service, without any obligation to you.
Payments are processed by Stripe under Stripe's own terms. SEPA Direct Debit depends on your bank. The service may load fonts and other resources from third parties and link to external websites. We are not responsible for third-party services or their content.
We provide the service with the features described at the time of your order and fix reproducible defects within a reasonable time. We do not guarantee that the service is free of errors or interruptions, or that using it leads to any particular result for your school, such as member retention or revenue.
For the Free plan, which we provide free of charge, our warranty is limited to cases where we fraudulently conceal a defect.
We are liable without limit for damage caused intentionally or by gross negligence, for injury to life, body or health, under the Product Liability Act, and under any guarantee we have expressly given.
For damage caused by slight negligence we are liable only for the breach of an essential contractual obligation — one whose fulfilment makes the proper performance of the contract possible and on which you regularly rely — and only for the damage that is foreseeable and typical for this type of contract. The parties expect that this does not exceed the fees the school paid in the twelve months before the event giving rise to the claim.
For the Free plan we are liable only for intent and gross negligence, and for injury to life, body or health.
These limitations also apply to the personal liability of our employees, representatives and agents. Claims under mandatory data protection law are not affected.
The school indemnifies us against claims by third parties, including members and supervisory authorities, that arise from the school's content, from its use of the service in breach of these Terms or the law, or from its role as controller of member records, together with the reasonable costs of our defence. We will inform the school promptly of any such claim and let it lead the defence where that is reasonable.
Each party keeps confidential the non-public information it learns about the other through this contract. We treat everything inside your workspace as confidential. Our staff access your data only to provide, maintain and secure the service, to help you when you ask for support, or where the law requires it.
We may change these Terms, for example when we add features, when the law or our providers change, or to close a gap. We tell the school owner by email at least 30 days before a change takes effect, and point out the right to object. If you do not agree, you may cancel before the change takes effect; otherwise the change applies from that date. Changes that are required by law, or that only benefit you, may take effect immediately. The date at the top always reflects the current version.
Governing law. These Terms are governed by the law of the Federal Republic of Germany, excluding the UN Convention on Contracts for the International Sale of Goods. If, exceptionally, you use the service as a consumer, this does not deprive you of the protection of mandatory provisions of the law of the country where you live.
Jurisdiction. If the school is a merchant, a legal entity under public law or a special fund under public law, or has no general place of jurisdiction in Germany, the courts of Berlin have exclusive jurisdiction.
Consumer dispute resolution. We are neither willing nor obliged to take part in dispute resolution proceedings before a consumer arbitration board.
Set-off. You may set off only claims that are undisputed or have been established by a court.
Assignment. We may transfer this contract to a company that takes over the service, and will tell you if we do. You may not transfer your contract without our consent.
Entire agreement and language. These Terms, the Privacy Policy and the plan details shown at the time of your order form the whole agreement between the school and us. These Terms are written in English; if we provide a translation, the English version prevails.
Severability. If a provision of these Terms is or becomes invalid, the rest remains in force.
